3. The information we collect
When you contact us
The form on our website does not store your details on the website. It opens your own email app with a message addressed to us, and we receive what you choose to send. You can also reach us by phone, email or WhatsApp. This usually includes your name, company, email address, phone number and the details of your enquiry.
On the form, your name, email address and message are needed so that we can reply. Your company and phone number are optional. If you choose not to give the required details, we may not be able to respond to you.
When we work with you
- Business contact details of people at our clients, suppliers and partners.
- Quotations, contracts, invoices and project correspondence.
- Details of personnel named in inspection and welding qualification records, such as names, identification or employee numbers, qualifications and test results. This information may come from the person’s employer or the project’s client.
When you visit our website
We do not use analytics, advertising or tracking tools. Our web host may keep standard server logs, which can include your IP address, browser type and the pages requested. Our website also loads its fonts from Google Fonts, so your browser shares your IP address with Google when the page loads. Our Cookie Policy has more detail.
We do not ask for special personal information, such as health or religious information, through this website, and the website is not aimed at children. Please do not send us this kind of information unless we need it for a specific purpose and have discussed it with you.
4. Why we use it and our lawful basis
| Purpose | Lawful basis under POPIA |

| Delivering inspection, qualification, QA/QC and related services | Performing a contract, and the legitimate interests of EQS and our clients |
| Invoicing, tax and business record keeping | Complying with the law, and performing a contract |
| Keeping our website working and secure | Our legitimate interests |
| Sending marketing messages, if we ever do | Your consent, or an existing customer relationship as POPIA allows. You can opt out at any time |
We only use your information for these purposes or for a purpose that is compatible with them. We do not sell personal information.
5. Who we share it with
We share personal information only where it is needed for the purposes above, with:
- Zangula Welding and Quality Consultancy (Pty) Ltd, our strategic partner, where your project involves Approved Inspection Authority (AIA) services.
- The clients on a project, where inspection or qualification records form part of the work.
- Service providers who support our business, such as website, hosting, email, IT and accounting providers.
- Regulators, certification bodies, courts and authorities, where the law or a compliance requirement says we must.
6. Information sent outside South Africa
Some of the services we or you use may store or process information outside South Africa, such as Google Fonts, WhatsApp and email or cloud providers. Where we transfer personal information across borders, we do so only as section 72 of POPIA allows, for example where the recipient is bound by comparable protections, or where the transfer is needed for a contract with you.
7. How we protect it
We take reasonable technical and organisational steps to protect personal information against loss, damage and unauthorised access. Our website is served over an encrypted HTTPS connection. No system is completely secure, so if we have reasonable grounds to believe your personal information has been accessed without authorisation, we will notify you and the Information Regulator as POPIA requires.
8. How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected, unless a law, a contract or a legitimate record-keeping need requires us to keep it longer. Financial records and project records may be kept for the periods set by tax, company and pressure equipment or quality requirements. When we no longer need information, we delete or destroy it, or remove the details that identify you.
9. Your rights under POPIA
You have the right to:
- Ask whether we hold your personal information, and request access to it.
- Ask us to correct or delete information that is inaccurate, out of date, excessive or unlawfully obtained.
- Object to processing that is based on legitimate interests.
- Object to direct marketing, and withdraw any consent you have given. This does not affect anything we lawfully did before you withdrew it.
- Be told if your personal information has been compromised.
- Complain to the Information Regulator.
To use these rights, contact our Information Officer. We may need to confirm your identity first. Objections are normally made on POPIA Form 1 and correction or deletion requests on Form 2, or in a substantially similar form, and we will help you with these free of charge. We aim to respond within 30 days. If a fee applies to a request for access to records, we will tell you before we process it.
